Reports module

Reports module shows overall statistics for items, reservation and maintenance quantities and future investments. Based on organisation's settings there can be other reports as well that can be added separately by Trail.

This article goes through different report views in Reports module.

Departments and categories

Report shows following information by department

  • Categories: What categories belong to this department.
  • Marked: How many items have been marked with label or has 'My identifier' information.
  • Available: How many items are available and not read out to any reservation.
  • Items: How many items belong to this reservation.
  • Missing info: How many items are missing at least one following information: Renewal price; Estimated lifespan; Purchased.
  • Condition (stars): How many items have each rating.
  • Total price: Total purchase price of all items.

By clicking a department name, you can get more specific report as follows: Department's categories > Categories' models > Models' items.

Investments

Trail counts automatically an estimation for future investment plan for the next ten years. Counting is done by using items' purchase date, renewal price and estimated lifespan. Trail does not include those items, where at least one of these mentioned fields is empty. Outstanding column calculates together the amount for those items that are past their lifespan, but have not been added to any investment plan.

When item has been added as part of an investment plan, Trail deletes the price from this report. Then the report shows only the amount for those items that organisation still needs to do renewing, but have not yet been planned to be renewed.

Reservations:

Report shows in weekly or monthly level how many models have been used in reservations. You can see the result in bar chart or as model listing.

Maintenances

Report shows by user how many maintenances each have closed and what has been the used label hours (if reported).

Lendings

Report shows in bar chart form statistics of how many items have been lended, returned and deleted as part of a lending. You can specify the search by using date, category and location search options.

Storage status

Report shows how many children locations, items, set pieces and costume sets belong to each location. You are also able to see how filled the location is.

Click the name of the parent location to specify the report on children location level.

Filled: Information helps to see how many child locations are free. This could be for example how many shelfs are available in a warehouse. When child location has an item (for example wagon, pallet, rack), the child location is then full. To use the filling column, please change the location type to be 'Storage' for these shelf.
