Spare parts in maintenance
This guide explains how to add spare parts as consumables in Trail and how to use them in maintenance tasks.
When a spare part is marked as used in a maintenance task, the system automatically reduces the quantity used from its' balance. This ensures that the number of spare parts stays up to date, and you can easily track which spare parts have been used and in which maintenance tasks.

Creating a spare part
- Open Items > Consumables
- Click Create consumable model
- Enter its' details
- Mark Spare part = Yes.
- (Optional) Set a threshold. The threshold will notify specific users when the quantity drops below a set level, indicating that it’s time to reorder.
- Click Save.
- Model card will open.
- Fill in:
- Quantity
- Department
- Location
- Click Save.
The spare part is now created and ready to be used in maintenance tasks.

Using a spare part in maintenance
- Open the maintenance task.
- From Spare Parts > click Add spare part.
- Enter:
- Spare part model
- Department
- Location from which the spare part was taken

- Click Save.
- If you are using multiple spare parts, repeat the previous step.

- Used quantities will automatically be deducted from the model's balance.
- Complete the rest of the maintenance details and close the task.
Notes
- If the spare part is marked as stock model, the quantity will be automatically reduced even in that case.
- The maintenance tasks in which the spare part has been used will appear on the model card, so you can easily track spare part usage across maintenance tasks.
