Assign work order (item card)

Recording maintenance work helps keep item information up to date and ensures that both completed and upcoming maintenance tasks are easy to track. In Trail, you can add individual maintenance tasks directly from the item card.

What does Assign work order mean?

  • Function is used to create a single maintenance task for a specific item.
  • A work order can be:
    • a maintenance task completed in the past that you want to record in the item’s information, or
    • an upcoming one-time maintenance task that you want to do.
  • It is saved in the item’s maintenance history and serves as the basis for maintenance report.

Creating a work order

  1. Open item card.
  2. Click Assign work order
  3. Fill in the required information:
    • Assigned to: Person responsible (default is yourself).
    • Maintenance plan: Specify whether the work is related to a maintenance plan. If this is a standalone maintenance task, you can leave this empty.
    • Summary: Give a clear and descriptive name.
    • Location: Where the maintenance work will be performed.
    • Description: Additional details.
    • Schedule: Select estimated period by highlighting the days in the calendar.

  1. Click Create.
  2. The work order is automatically marked as accepted.

Processing a work order

  1. Click the name of the work order.
  2. The work order’s detailed view opens.
  3. Fill in additional information if needed:
    • You can report observations in the Comments section.
    • You can attach images, reports, or other documents in the Attachments section.

  1. Click Close.
  2. Fill in any final details, such as labour hours.
  3. Click Save and close.

⭐ Tips

  • Write the Summary and Description as clearly as possible.
  • Add photos or reports during the maintenance so information doesn’t rely solely on memory.
  • You can schedule longer time period if the maintenance lasts several days.
