Defining the shareability of individual items

After you establish a sharing connection, choose what partners can do with each item.

An item here is an individually tracked unit with its own unique identifier in Trail.

Users with editor rights to items can set sharing visibility for one item or for several items at once.

Choose a sharing visibility level

  • Not shared: Only the owning organization can see and use the item.
  • Shared: Sharing partners can see the item, but cannot reserve it.
  • Shared and reservable: Sharing partners can see and reserve the item.

Change one item's sharing visibility

  1. Open item card.
  2. Select Edit

  1. Under Sharing Visibility, choose the appropriate level from the dropdown menu.

  1. Select Save at the bottom of the page.
  2. Check the Sharing Visibility section on the item card to confirm the new setting.

Change sharing visibility for several items

  1. Open Items - All items
  2. Use advanced search to find the items you want to update.

  1. Select those items using their checkboxes.

  1. Select Edit above the item list.
  2. Choose the level under Sharing Visibility, then select Save.
  3. The selected items now have the chosen sharing visibility setting.
