Defining the shareability of individual items


Users with editor rights to items can define the shareability of items on an individual basis. In this case, 'item' refers to an item tracked as an individual entity with a unique identifier in the Trail system


Users can define visibility for items in three levels:

  1. Not shared - the item is only available and visible to the owning organization.
  2. Shared - the item is visible to sharing partners, but sharing partners cannot reserve it for their use.
  3. Shared and reservable - sharing partners can see the item and reserve it for their use.

The sharing level can be defined individually for each item or as a bulk in the item list.


Defining shareability for an individual item


  1. Open the item's item card
  2. Click the 'Edit' link in the upper right corner of the page

  1. In the 'Sharing Visibility' section, select the appropriate option from the dropdown menu and click the 'Save' button at the bottom of the page

  1. The sharing status of the item is displayed on the item card in the 'Sharing Visibility' section

Defining shareability as a bulk from the item list view


  1. Open the item list through the 'Items' tab
  2. Search for your desired items using the search function

  1. Select the items you want to change the shareability of by using the checkboxes

  1. Click the 'Edit' link above the item list
  2. Define the shareability in the 'Sharing Visibility' section, and click the 'Save' button

The sharing visibility setting for the selected items has now been changed.
