Item list and search techniques
In addition to the item card view, you can browse items on a list. In the item list it is easier to make mass edits and it's also possible to export Excel sheets and PDF files.
Depending on your user rights, you might not see all the items in your organization's Trail. The user rights and departments are determined by the key users of your organization. If you have any questions regarding your user rights, please contact your organization's key user.
The view that we call item list, is the view you see when you go to Items > All items
Item list columns
In the item list you have different columns. The columns allow you to see certain information without going to the item card view and it also allows you to sort the items by a certain column topic. For example if you click on the 'Category' column header, it will sort the items by the categories' alphabetical order.
Managing the item list columns
Every user in Trail can to choose which columns are visible on the item list. You can select the columns by clicking 'My Profile' on the top right corner of the page. In this view, all the changes you make, effect only your personal user. Simply, select the columns you wish to see from the list under the header 'Item List Columns'.
Always remember to save the changes by clicking the blue 'Save' button at the bottom of the page.
Item search techniques
Free text search
The most commonly used search technique is to simply write search words on the 'Free text search' -field. This is very helpful when you know exactly which item or items you are looking for.
Some tips for the free text search:
- 3 letters and/or digits. In order for Trail to search the correct items, write at least three letters of the search word.
- Hyphen. Putting a hyphen in front of a search word, will exclude the items containing that word from the search results.
- Quotation marks when you put multiple words inside of quotation marks, it shows only results that has the words in that same order.
Advanced search
Below the search field, there is a link 'Show Advanced Search'. By clicking the link, you will see a list of different search options. You can use both the text search feature and the different advanced search features at the same time.
For example in the picture below the user wants to list all the items containing the word 'Chair' in the location 'Office'.
Advanced search fields:
- Deleted:
- All the items that has been soft deleted on Trail, can be still found on searches. There are three options
Show items in use, Show all items and Show only deleted items. - Reservable
- This field filters the items by the 'Reservable' -status. If you select 'Show only reservable items' Trail will list all the items that has the 'Reservable' -setting 'yes'. This does not necessarily mean that the item is available for a reservation. - Audited
- This field refers to ongoing inventory. Item will be audited in Trail when it's location has been changed and/or it has been marked as audited from the item card.
Item status symbols
The first column on the items list is for status. Here are the explanations for the symbols: Item marked with a QR-code and/or barcode label
Item marked with an RFID label
Item defected
Attention needed (Item either has an overdue maintenance or it has not been returned in time from a reservation)
Item has been read out on a reservation
Item has been returned from a reservation, but the reservation is still on going
