Editing and deleting items

To edit or delete items in Trail, you must have editor rights to the Items module.

Please note that even if you have rights to edit items, you may not have rights to edit the cost details of an item.

Editing an item from the item card

You can edit the details of a single item directly from the item card.

  1. Open the item card
  2. Click Edit
  3. The edit view will open, allowing you to update the item details.
  4. Click Save to save the changes

Note:

  • If you want to edit the item model's details such as the model name or category, go to the model's page by clicking the model's name and select Edit.

Editing multiple items at once

You can edit multiple items at once from the item list.

  1. Open Items - All items
  2. Search for needed items
  3. Select the items using the checkboxes.
  4. Click Edit at the top of the list.

  1. Make the desired changes (for example, update location).
  2. You can edit max. 100 items at once
  3. Click Save to save the changes

Note:

  • Please note that if you edit a larger amount at once, the update may take a little while.
  • Model details must be edited from the model page (Items - Models) via Edit.
  • Mass edit is only possible for some of the general information fields, such as department, location, reservability, and cost details. If there is a need to edit any other information, please do this directly from the item card.

Deleting an item from the item card

You can delete a single item directly from the item card.

  1. Open the item card
  2. Click Delete
  3. Select an appropriate delete reason from the dropdown menu.
  4. Add additional information in the description field if needed.
  5. Choose the deletion type:
    • Delete (recommended): This is a soft deletion. The item data is retained and can be restored if needed.
    • Delete Permanently: Permanently removes the item from Trail. Item cannot be retained nor restored. Use only if certain, -for example to a test item.

Deleting multiple items at once

You can delete multiple items from the item list.

  1. Open Items - All items
  2. Search for needed items
  3. Select the items using the checkboxes.
  4. Click Delete at the top of the list.
  5. Select a delete reason and add additional information if needed.
  6. Choose the deletion type:
    • Delete (recommended): This is a soft deletion. The item data is retained and can be restored if needed.
    • Delete Permanently: Permanently removes the item from Trail. Item cannot be retained nor restored. Use only if certain, -for example to a test item.

How to find softly deleted items

Items that have been softly deleted, can later on be still found from Trail.

This allows users to create reports on previously deleted items. It is also possible to undelete an item. This may occur if an item has been softly deleted as missing, but later on found again.

  1. Open Items - All items
  2. Click Advances search
  3. Scroll to Deleted -> select: Show only deleted items
  4. You can also clarify the timeline for deletion and reason

  1. Click Search
  2. Trail will show the list according to the search

Note!

  • If you would like to select columns 'deleted' and 'delete reason' to item list, this is possible. From the upper right corner, click the colum icon ( III ) and select the columns.

⭐ Tips

  • Always prefer Delete (soft delete) instead of permanent deletion to preserve item data.
  • Use the item list when making the same change to multiple items to save time.
  • Edit model details on the model page to ensure consistency across items.
