Inventory on browser

Trail inventories help you to keep track where all the items are at the moment. If you are interested about getting an inventory module, you can contact support@trail.fi.

Those users who have Editor rights to inventories can create and edit inventories. Inventories are location based.

Creating new inventory

1. Open Items - Inventories

2. Click Create new inventory from upper right corner. Inventory form opens.

3. Add following fields:

  • Location: Select the location where the inventory will be done.
  • Include: You can select if the inventory should include all items, or only those that have been marked with label or RFID/NFC tag.
  • Description: Possible extra information

4. Click Create

5. Inventory's view opens. You will get a list of all the items that should be found from the location.

You can use status, category, or model name information to search for specific items.

Status:

  • Missing: Should be in location, but has not been found yet.
  • Found: Has been found as part of the inventory.
  • Misplaced: Has been found as part of the inventory, but originally belongs to different location. 
  • Broken: Item has an open defect report.

Inventory

We recommend using a scanner to help with reading items faster.

1. Click Read barcode -field (to activate it).

2. Scan the QR-/barcode/RFID label. Item will be moved under Found -status.

3. What if:

  • I don't have scanner or scanner does not read the label? You can search the item and click 'Add' button. You can also type the identifier to 'Read barcode' -field and click 'Go'.
  • While doing inventory, item has been removed from location? Update the item's location status from item card. Item is automatically removed from inventory list. 
  • Inventory is ready, but item was not found? This could mean that item has been missed or it has been removed from location. Before closing the inventory, try to see if you can find the item near by the location. The location information will not be updated when closing the inventory.

4. When inventory is ready, click Inventory is ready button from the upper right corner.

Finding closed inventories

1. Open Items - Inventories

2. From 'Filter by state' select Closed

All the closed inventories will be listed. By clicking the location name, you can take a look at the inventory.
