Item list - bulk actions
You can use the item list to manage multiple items at once. With bulk actions, you can update item information, delete items, export the item list, or print labels for multiple items.
The item list can be found under Items → All items.
Topics
Before you start
- Select items using the checkboxes on the left
- To select all items on the current page, click the top checkbox in the column header. You can display and select up to 100 items per page

Edit item information
You can update certain basic information for multiple items at the same time. This requires editor-level user rights for the Items module. If the field you want to edit is not available in the bulk edit view, update it from the individual item card.
- Search for the items you want to edit
- Select the items using the checkboxes
- Click Edit
- Update the required information
- Click Save
- The information is updated in Trail

Deleting items
You can delete multiple items from the item list. This requires editor-level user rights for the Items module.
- Search for the items you want to delete
- Select the items using the checkboxes
- Click Delete
- Select the reason for deletion and, if needed, add more information in the description field
- Select either:
- Delete (Recommended) – Soft delete. The item is removed from active use, but its information remains in Trail. You can find deleted items using the advanced search and restore them if needed
- Delete permanently – Permanently deletes the item from Trail. The information cannot be restored. Use this option only when you are certain the item is no longer needed, for example, for a test item

Export the item list
You can download item information from Trail as a file. This requires at least read-level user rights for the Items module.
- Search for the required items
- Select the items using the checkboxes
- If you do not select any items, the file will include all items in the search results
- Click Export
- Select the file settings:
- File format – Select PDF or Excel. Other formats, such as Catalog, may also be available. Ask more from Trail Support.
- Columns – Select which columns are included in the file. Selected columns are shown in blue
- Click Download
- The file is automatically downloaded to your computer

Printing item labels
You can print labels for multiple items directly from the item list. This requires editor-level user rights for the Items module.
- Select the items using the checkboxes
- Click Print labels
- Select the correct Trail printer
- Click Print
Note: If your organization does not have a Trail printer, this option is not shown. Using labels is one of the recommended additional features for supporting item management. Labels make tasks such as inventory, reservations, and maintenance easier. If your organization does not yet use labels, contact Trail Sales at sales@trail.fi to learn about the available options.

Adding items to a reservation
You can add individual items to a reservation. This requires at least read-level user rights for the Reservations module.
With the default settings:
- If an item is added to a reservation that starts in the future, it is added with the Planned status
- If an item is added to a reservation that starts on the same day, it is automatically read out
- Select the items using the checkboxes
- Click Add to reservation
- Select an existing reservation or create a new reservation
- Click Add
- The item is added to the reservation
For more detailed instructions, see: Reservation plan for a specific item

Confirming item locations
Confirming a location means checking and confirming the item's physical location in Trail. This is particularly useful when an item has not been used or seen for a long time and helps keep item information up to date.
This action requires at least read-level user rights for the Items module.
When you confirm a location:
- Item list columns: Updated, Audited, and Last seen at are updated
- Item card location history: The date of the latest location is updated to the current date. A new row is not created
You can add several timestamp-related columns to the item list. The following actions affect when these timestamps are updated:
- Updated: Updating the item card, latest reservation update, latest maintenance update, or latest location update
- Audited: Latest change to the item's location
- Last seen at: Updating the item card, latest scan, latest change to the item's location, latest maintenance update, or latest inventory
