User rights explained

Overview

You can create new users and modify the user rights From Admin - Users page. Trail allows you to manage the rights of single users as well as multiple users by using a feature called user groups.  Only users who are designated 'Administrators' can manage user rights.

User Right Levels

Admin

  • None: User cannot access the 'Admin' module, as it will not be visible in the top navigation bar.
  • Reader: User cannot access the 'Admin' module, as it will not be visible in the top navigation bar.
  • Editor: User has full access and modification rights to the 'Admin' module.

Users

If user has Editor rights for Admin module, user has automatically editor rights for all the tabs/pages within it.

This setting requires a situation where user has None or Reader rights for Admin module. With this, you can give a separate access for the specific tab/page.

  • None: User cannot see Admin - Users tab.
  • Reader: User can see Admin - Users tab, but cannot edit any information.
  • Editor: User can see Admin - Users tab, and can edit any information.

User groups

If user has Editor rights for Admin module, user has automatically editor rights for all the tabs/pages within it.

This setting requires a situation where user has None or Reader rights for Admin module. With this, you can give a separate access for the specific tab/page.

  • None: User cannot see Admin - User groups tab.
  • Reader: User can see Admin - User groups tab, but cannot edit any information.
  • Editor: User can see Admin - User groups tab, and can edit any information.

Locations

If user has Editor rights for Admin module, user has automatically editor rights for all the tabs/pages within it.

This setting requires a situation where user has None or Reader rights for Admin module. With this, you can give a separate access for the specific tab/page.

  • None: User cannot see Admin - Locations tab. User cannot click to open the location page from item card.
  • Reader: User can see Admin - Locations tab, but cannot edit any information.
  • Editor: User can see Admin - Locations tab, and can edit any information.

Locations module > Change history:

User needs to have access to locations to be able to give the rights for locations. After user has been given at least reader rights to locations, user can edit the right for change history.

  • None: User does not see the update history in location’s page
  • Reader: User sees the update history in location’s page
  • Editor: User sees the update history in location’s page

Departments

If user has Editor rights for Admin module, user has automatically editor rights for all the tabs/pages within it.

This setting requires a situation where user has None or Reader rights for Admin module. With this you can give a separate access for the specific tab/page.

  • None: User cannot see Admin - Departments tab.
  • Reader: User can see Admin - Departments tab, but cannot edit any information.
  • Editor: User can see Admin - Departments tab, and can edit any information.

Items

  • None: User cannot access the 'Items' module.
  • Reader: User can access item informations (except cost details), but they cannot make any changes or delete them. User can create new defect reports from item card.
  • Editor: User can see, edit, create and delete items.

Items module > Cost details:

  • None: User does not see the cost details in item card
  • Reader: User sees the cost details in item card, but cannot edit them.
  • Editor: User sees the cost details in item card, and can edit them. User needs to have editor rights to Items module.

Items module > change history:

  • None: User does not see the change history information in item card
  • Reader: User sees the change history information in item card
  • Editor: User sees the change history information in item card

Items module > Location history:

  • None: User sees only item’s latest location in location history, but not any other
  • Reader: User sees the location history information in item card
  • Editor: User sees the location history information in item card

Items module > Maintenance history:

  • None: User sees the open maintenances, but does not see any closed ones in item card
  • Reader: User sees the ongoing and closed maintenances in item card
  • Editor: User sees the ongoing and closed maintenances in item card

Categories

User right can be left in None position.

Reservations

  • None: User cannot access the 'Reservations' module. They cannot access any reservation information, and reservation history is not visible on item cards.
  • Reader: User can access the reservations module. User can create own reservations and reserve equipment that belongs to their department, but cannot modify any other reservations besides their own. Note: If the general setting 'Accept reservations' is on, users with editor rights need to accept user's reservation, before user can read items out/in to it.
  • Editor: User have full access, creation, and modification rights to all reservations. If reservations acceptance is enabled, users with editor rights to reservation will need to accept reservations created by users with reader rights.

Maintenances

  • None: User cannot access the 'Maintenance' module. User can still create new defect reports for items.
  • Reader: User can access maintenances, view details and report defects but cannot create new maintenance plans. By default, users cannot start or close maintenances, however, this can be changed in General Settings.
  • Editor: User has full access, creation, and modification rights to all maintenances and can assign maintenance work to other users.

Maintenances module > Change history:

  • None: User does not see the history information on maintenance’s page
  • Reader: User sees the history in maintenance’s page
  • Editor: User sees the history in maintenance’s page

Reports

  • None: User cannot access the 'Reports' module.
  • Reader: User can access and view reports.
  • Editor: User can access and view reports.

Investments

  • None: User cannot access the 'Investments' module.
  • Reader: User can access and view investment plans but cannot modify or create them. Users can however plan needed purchases.
  • Editor: User have full access, creation, and modification rights to investment plans and can accept purchase plans.

Transports

  • None: User does not see the module.
  • Reader: User sees transport module. User can create new transport, but cannot add equipment for it. User cannot start transport before user with editor rights has accepted it. After acceptance, user can scan equipment out and in and end the transport.
  • Editor: User sees transport module. User is able to create transports, add sets and items to it, accept and scan the equipment out and return to it.

Productions

  • None: User does not see the module
  • Reader: User sees the module and can read the added information, but cannot edit or create any productions.
  • Editor: User sees the module. User can edit and create productions.

Other modules

Different Trail organisations have different modules enabled, which means that you might have additional modules listed in this view. Rights to these modules are granted with the same principle as above.
