Reserving Equipment Kits

What is an equipment kit? It means that content has been added to a main item, and they are usually reserved together.

For example, the main item could be a camera case that contains: a camera and a tripod.

When you reserve the main item in Trail, its content is automatically reserved by default. This makes booking fast and easy.

Different Options for Reserving an Equipment Kit

Before creating reservations, consider whether the items should always be reserved together or also separately. The options are:

1. Only the main item can be reserved

  • The user always reserves the main item. The content cannot be reserved separately.
  • When the main item is read out, its content is automatically shown, but not read out individually.
  • This is the simplest and safest way to always reserve the set together.

2. Only the content can be reserved

  • Items included as content can be reserved without the main item. The main item itself is not reserved.
  • This option is suitable when items are mostly used separately.

3. Both the main item and the content can be reserved

  • All items can also be reserved individually.
  • If the main item is read out, note that some of its content may already be included in another reservation.

Reserving an Equipment Kit

When the content cannot be reserved separately

  1. Open Reservations → All reservations
  2. Click Add new reservation
  3. Fill in the basic details (title and time period)
  4. Click Save and add items
  5. Search and select the main item model
  6. Click Save
  7. When the reservation period begins, scan the main item’s barcode.

Note: The content is visible in the reservation, but it is not marked as checked out separately.

When the content can be reserved separately

In this case, the content items must be set as reservable in the item card. The reservation is then created as usual:

  1. Open Reservations → All reservations
  2. Click Add new reservation
  3. Fill in the basic details
  4. Click Save and add items
  5. Select as needed:
    • the main item model
    • or an individual content item
  6. Click Save
  7. When the item is scanned - If it is the main item, its content is also automatically reserved.

What if part of the content is already reserved in another reservation?

The main item can still be read out. The user will receive a notification that some items are included in another reservation. Such items are shown without the blue read-out marking.

Returning an Equipment Kit

Default return (most common method)

  1. Scan the main item’s barcode in the reservation.
  2. Trail automatically returns its content as well.
  3. If any item remains highlighted in blue, it must be returned separately.

Additional Return Settings

A more detailed return policy can be defined. These settings require editor user rights to items.

Option 1: All content must be scanned separately

Each item included in the main item must be scanned separately when returning. This helps ensure that all parts are included.

How to enable:

  1. Open Items - Models
  2. Select the main item model
  3. Click Edit model
  4. Under “Scan contents on return” → select Yes
  5. Save
  6. When the main item is returned - The content remains marked as read out. Scan each item separately


Option 2: Only certain items must be scanned separately

You can define that only items of a specific model must always be scanned separately. For example, a more valuable camera inside a camera case. The setting applies to all items of that model.

How to enable:

  1. Open Items - Models
  2. Select the desired item model
  3. Click Edit model
  4. Under “Always scan on return” → select Yes
  5. Save
  6. When the main item is returned - This item remains highlighted in blue. Scan it separately to complete the return.
